Noah’s Ark and the GDPR data protection regulations 2018

Policy statement

When becoming a member of Noah’s Ark Naturist Swim, and at each renewal, it is a requirement that a membership form is completed by the applicant and, together with the required remittance, submitted to the membership secretary.

These forms are scanned and stored securely in a zipped, password protected folder in a shared Dropbox folder, shared with current committee members. These forms form the primary source for information held by Noah's Ark Club and can be inspected subsequently, at any time, if requested by the member concerned.

Information is extracted from these forms and entered into a single password protected file in a Dropbox folder shared with current committee members.

This information is used solely for the purposes of club administration and to send regular information of club events and other notices to club members via email.

Members can opt in to receiving regular updates via e-mail. Opting out may result in not receiving important  notices and information which could include, but not limited to, partial closure of the host centre's facilities or cancellation of additional classes.

No information given in application (or renewal) forms will be disclosed to any third party or to any other member without the express permission of the member.

Information stored by the club will be kept for the duration of the individual’s membership and will be deleted one month after the expiry of the membership, unless there are any ongoing safeguarding/legal issues with a member when they will be kept for up to two years or until the issue is resolved, whichever is the longer.

The Noah's Ark membership year runs from 1st April until 31st March. All memberships automatically expire on 31st March, without being renewed. Renewal fees are adjusted in the second year of membership for those joining after July 1st of the previous year.
